How Much does a Charter Bus Rental Cost?

While cost may be an important factor in the planning of your trip, be aware, the cost of your trip depends on many different variables. From Distance and duration of your trip to even the time of year you decide to take the trip, they can all affect the final price you may pay for your booking.

So here are the most important factors that affect the price of your charter Bus:

  1. The Distance and Duration of your trip: If you’re traveling long distance, you will most likely be billed per mile or per day. For shorter trips you’ll be billed per hour. However, be aware, most bus companies require a 5 hour minimum, and you may be billed for 5 hours.

The following chart will give you a general idea of some of the costs involved with chartering a bus.

Bus Type Per Hour Per Day Per Mile
Charter Bus $125 – $180 $1,300 – $1,700 $4.00 – $5.50
Minibus $125 – $160 $1,200 – $1,500 $4.00 – $5.50
Entertainer Bus N/A $1,900 – $2,500 $7.00 – $8.50

  1. The time of Year: There are times of the year, when buses are in plenteous supply, and those times the prices will naturally be cheaper. However, there are periods during the year when people travel more, and the buses are in short supply, and these times you will be paying more. For example, April May and June are expensive months because people use buses more, for : Graduation, School Trips, Proms, etc. However January, February, and July are cheaper months to travel, as people travel less during this time due to the winter weather, and end of summer.

  2. Starting City: As bus companies tend to be located outside large cities, choosing a city as the pick up location will cost more, as the buses have to come from outside the city to pick you up.

  3. Remember, there are fees that may raise the cost of your trip, that might not be be included in the quote. Fees Such as Tolls, and Parking fees, do increase the cost of your trip, and it’s important, you check with your provider on this ahead of time, so you’re not surprised when you get your final bill.

  4. Extra driver, Gratuity, and Hotel: As drivers cannot drive for more than 10 consecutive hours, before taking  an 8 hour break, your trip may require an additional driver, if you plan to have your bus go non-stop. For overnight trips, most transportation companies will as ask you to book a hotel for the driver as well, so make sure to factor this cost into your overall trip cost. Some companies may add the driver’s gratuity on the bill, however some don’t , it’s a good idea to check with the company to make sure you tip your driver for a job well done. We recommend tipping your driver anywhere between 10-20 percent of the cost of the trip.

  5. Type of Bus: The type of bus you select certainly affects the cost of your trip. If you have less than 35 people, of course it’s cheaper to book a mini bus, but remember there’s no restroom in the minibus and there’s less luggage space. However if you book a Motor coach, it can seat anywhere from 47-61 passengers, and it is also equipped with a lavatory, and additional luggage space, and of course costs more than the minibus. This option would be more suitable for youi if you’re doing longer trips and have 47-61 passengers. Entertainer, and Party buses are closer in size to the minibuses, but the seats are arranged along the edges of the bus. Additionally, the extra amenities, such as: fiber optic lighting, premium sound systems, flat screen tvs, kitchenette, restroom, dance floor etc., puts them closer in price to a motor coach.

Here are some ways to control the cost of your charter bus:

  1. Make a detailed itinerary of your trip, including all the stops you expect to take.

  2. Book at least 3-6 months in advance to get the best deal, avoid booking in April, May and June.

  3. Call hotel or venue and enquire about bus parking, and where it’s cheapest. Also enquire if your driver can get a hotel room free or at a reduced rate when doing a group booking.

  4. Get the exact figure on the number of people you expect for the trip to book the right size bus.

  5. Try to book the bus in the same location as your pick up location.

Six Things You Should Bring on a Bus Trip

california city
Traveling by charter buses have proved itself to be one of the most efficient ways to travel long distances. If you choose Prompt Bus Charters’ services, our buses come with free Wi-Fi, comfortable seats, extra legroom, and much more. When you travel with us, you won’t have to worry about any of the details of the trip. All you need to focus on is what to pack. Below are the best six things you should bring on your chartered bus trip.

  1. Comfortable Clothing

One of the most important packing essentials for a bus trip, especially a long one, is comfortable clothing and shoes. When you’re in a seat for that long, clothing shouldn’t keep you from being comfortable. We recommend light apparel that is comfortable for both relaxing and sleeping. Slip-on shoes are also a good choice for travelers.

 2. Hygiene Items

While our bus lavatories are furnished with basic bathroom necessities, you should consider bringing your own personal hygiene items and toiletries. A few good examples include hand soap, your own toothbrush and toothpaste, combs and brushes, etc. After using the bathroom, please remember to clean up after yourself for the benefit of other travelers.

 3. Snacks & Drinks

Another important thing a traveler should consider packing is something to munch on. While the bus will stop for meals, you might want something to chew on between stops. That’s why packing extra snacks and drinks are always important. A few popular snacks include chips, cookies, gummy worms, and more. A refillable water bottle might also be beneficial.

 4. Entertainment

From kids to elders, everyone needs something to pass the time. That’s why a good source of entertainment is always suggested for a bus. Some might consider a book, others a video game console. Prompt Bus Charters offers complimentary Wi-Fi in our motor coaches. Passengers can take advantage of this and connect their devices for the ride. That way, they’ll be able to scroll through social media, watch a movie, or even learn more about their destination all in the comfort of a chartered bus.

 5. On-Board Storage

Items like a backpack or a purse are always useful on long road trips of any kind, including a charter bus trip. In it, you can store your extra clothing, hygiene items, snacks and drinks, entertainment, souvenirs, and much more. A backpack can also be a safe place to store important items like a passport or wallet. You can keep your backpack under your seat or overhead in the provided storage bins.

6. Sleeping aids

Some can sleep anywhere. Literally anywhere. Others might not find it so easy. That’s why many travelers bring sleeping and comfort aids, to help them relax. Depending on the person, it might be hard to relax while in a bus. Sleeping pills can help give the passenger rest and energized for their next stop. Prompt Bus Charters’ bus seats also recline for the passenger’s comfort.

Head to Buffalo, NY

Places to Visit/Things to Do

The Buffalo City Hall is one of Buffalo’s most popular landmarks. Built after the first World War, the building features an art deco architectural style. Inside, you’ll see that the ceiling is made of beautiful stained glass and geometric designs. If you want to look out at the city from the building, you can do so from 32 stories featuring over 1,500 windows. You’ll get a great view of downtown Buffalo from the city hall. The best spot to get the best views is the observation deck on the 28th floor. From the deck, you can see the beautiful Lake Erie, the busy metropolis, and the Buffalo River. Free guided tours, which last an hour, are held at noontime Monday through Saturday. The entry into the observation deck is also fee.

Chances are you’ve probably seen a structure or building designed by Frank Lloyd Wright. Wright is one of the most famous architectures in United States history. He designed the building complex in the early 20th century for businessman Darwin D. Martin. It was built in the prairie house architectural style. Now over a century later, the house has been maintained so that guests may view the landmark. The complex contains the “main house, the pergola, the conservatory, the carriage house, and the Wisteria Museum Shop.” A visitor favorite is the tours. Adult tours costs $12.50 for the one-hour tour (if purchased online). Two-hour tours cost $27.50.

You might think it’s weird that a cemetery is on the list for the best things to do in Buffalo, but Forest Lawn truly is one of the most beautiful places in the city. The majority of people come to the cemetery for quiet strolls and picnics in the park-like vibe. Several famous people have been laid to rest at the cemetery, including former U.S. President Millard Fillmore. While you can walk around by yourself, we recommend you take a tour. Tours are typically held on Sundays at different hours throughout June through October. Walk tours, which last two hours, cost $15. Trolley tours, which last 1.5 to 2 hours, cost $10 more for $25. If you choose to walk around without a tour, there is no entry or tour fees. The gate is open from 8 am to 5 pm during the spring and summer. For the fall and winter season, they open at 8 am but close at 4 pm.

Did you get a chance to go to Broadway yet? If not (and even if you have), you should visit the Shea’s Performing Arts Center. It originally opened as a center for silent films in 1926, but now is the host of famous performers, bands, and more. It was added to the National Historic Registry a few decades ago, and it continues to be renovated. Even though it might be old, the inside is still gorgeous with red seats, a beautiful stage, and a unique colored ceiling. If you want to catch a show, you’ll have to stay updated with the center’s schedule. If you don’t get a chance to see a show, you can still visit the theater from 10 am to 5 pm during the weekdays, and from 10 am to 2 pm on Saturday (if there isn’t a performance).

Do you enjoy watching baseball? If you do, visit the Coca-Cola Field, home to the Buffalo Bisons. The Bisons are a Minor League baseball team and also the Triple-A affiliate for the Toronto Blue Jays. They also play in the International League. The Coca-Field is a prime example of a “retro-style stadium.” The characteristics of the stadium differ so much from more modern stadiums. One of them is real grass instead of turf, which fill up most newer stadiums. Another interesting fact about the stadium is the green seats, with this stadium as one of the first on the upcoming trend. Most visitors who watched a game at Coca-Cola Field noted that all the seats were amazing; one even said, “There’s not a bad seat in the house.” For ticket prices and game schedules, stay updated with the team’s website.
